**Bilingual Executive Assistant & Roofing Insurance Coordinator**

**Position:** Long-Term, Part-Time

**Schedule:** 30 Hours Weekly | Monday–Friday

**Pay:** $4 USD/Hour | Paid Biweekly

**Additional Compensation:** Contract Closing Bonuses

**About the Position**

Matrix Home Pros is a growing residential and commercial roofing and remodeling company serving El Paso, Texas, and surrounding New Mexico communities.

We are seeking a reliable, organized, and experienced bilingual virtual assistant to help manage our daily business operations, customer communications, appointments, estimates, and roofing insurance claims.

This is not a one-time project. We are looking for someone who can become a long-term member of our team, work closely with company management, and help us grow.

**Key Responsibilities**

**Executive & Administrative Support**

* Assist company owners with daily operations and administrative tasks.
* Answer incoming business calls, emails, and messages in English and Spanish.
* Manage company calendars, meetings, reminders, and paperwork.
* Organize contracts, proposals, invoices, and business documents.
* Provide daily updates on pending tasks and appointments.

**Customer Service & Scheduling**

* Answer customer inquiries professionally.
* Schedule roofing inspections, home visits, and remodeling estimates.
* Coordinate appointments with customers and project managers.
* Follow up with potential customers regarding estimates and proposals.
* Maintain excellent customer communication.

**Roofing Insurance Claims Coordination**

* Assist with initial claim documentation and paperwork.
* Organize claim numbers, insurance estimates, photos, and reports.
* Track active, pending, denied, and underpaid claims.
* Follow up with homeowners and insurance companies for routine claim updates.
* Coordinate insurance inspections and requested documents.
* Track claim deadlines and pending responses.
* Assist with administrative supplement documentation.

_Insurance responsibilities are administrative only. The assistant will not negotiate settlements or represent policyholders._

**Roofing CRM & Estimates**

* Manage customer information, leads, and project records.
* Prepare preliminary estimates using approved company pricing.
* Assist with proposals and contracts.
* Track customer follow-ups and sales opportunities.
* Maintain accurate records in Leap CRM.

**Required Qualifications**

* Fluent in English and Spanish, both spoken and written.
* **Previous hands-on experience with Leap CRM or another roofing-specific CRM**, such as JobNimbus, AccuLynx, or Roofr.
* Experience with U.S. roofing, construction, restoration, or insurance claim administration.
* Excellent customer service and professional phone skills.
* Experience managing appointments, leads, and follow-ups.
* Strong organization and communication skills.
* Reliable computer, internet connection, and quiet workspace.
* Available 30 hours weekly during El Paso, Texas business hours.

**Preferred Skills (Not Required)**

* Direct experience with Leap CRM.
* Xactimate estimating experience.
* Roofing insurance supplements.
* Previous experience as an executive assistant for a U.S. contractor.

**Compensation & Bonuses**

**Base Pay:** $4 USD/hour

**Weekly Hours:** 30

**Biweekly Base Pay:** $240

Bonuses are offered for qualifying contracts where the assistant contributed through customer communication, scheduling, or sales follow-ups. Bonuses are earned after the contract is signed and the required customer deposit clears, subject to the written bonus agreement and applicable law.
